WEATHER POLICY AND COMMUNICATION PLAN FOR CYO ATHLETICS

With the beginning of the regular season for basketball and the potential for inclement weather, I want to remind you of our weather policy as well as our means for communicating about gym closures and an inability to make it to games.

As always, CYO Athletics participants are asked to make prudent decisions in terms of safe travel in adverse weather conditions.

WEATHER POLICY – from the CYO Athletics Manual, p. 26

  • It is the policy that when weather creates a challenge to attend league or tournament games, the Director of CYO Athletics, in consultation with that sport’s commission members decide as early as possible on the cancellation of such events.
  • If athletic events are cancelled, the games will not be made up. If games are played during a cancelled day, they will not count in league standings.
  • Due to different weather conditions in various areas, CYO Athletics suggests all adults use common sense during difficult days of travel!
  • All cancellations will be posted on the CYO Athletics voicemail message at 206.654.4643 as quickly as they are determined. If your gym/field is not listed as closed, it should be open.
  • Please see the baseball section in regards to rainouts.

COMMUNICATION – FOR COACHES WHOSE TEAM CAN’T MAKE IT TO A GAME DUE TO INCLEMENT WEATHER

  1. If the gym you are scheduled to play at is not closed and it is determined that you cannot travel safely to your game, you are asked to call the opposing coach to notify them of your need for game cancellation. Coaches contact information will be sent out next week.
  2. We are asking that people call 2 hours before their game time so that people can plan accordingly. Please have team phone trees in place to enhance communication on both sides of this situation.
  3. Please communicate this to CYO Athletics by calling Tauno Latvala on his voicemail pager at 206.344.9119 so that officials are notified of the game cancellation.
  4. The 72-hour notification rule is still in effect for non-weather related cancellations. Please see the manual on p. 24 for more details.

COMMUNICATION – CYO ATHLETICS TO THE COMMUNITY

  1. In cases of severe weather, we will either cancel all games for a day, entire weekend or do it on a gym by gym basis.
  2. We will communicate cancellation of games or individual gym closures via the outgoing voicemail message at 206.654.4643.
  3. If power and access allows, we will also post closure updates to our blog.
  4. Please be aware that we will not respond to phone calls asking us if games are being played at a specific gym. All gyms are open unless communicated otherwise.

Parking Issues This Year in Basketball

Please see the attached document from Holy Rosary Seattle’s Athletic Director Chris Teppner. They have asked we circulate this to the community so everyone coming to Holy Rosary for basketball games park in the proper parking lot so as not to conflict with parishioners parking for mass.

Also, DO NOT PARK IN THE O’DEA PARKING LOT. Use of the O’Dea parking lot is reserved for St. James parishioners attending mass. Under no circumstances should anyone be parking in that lot for CYO basketball games. There will be monitors there on sight, and any one parking there, not for mass at St. James may have their car towed. Please remind your communities, as in the case with Holy Rosary’s parking, that the rules do apply to everyone. Please respect these communities rules, if for nothing else, because it is the right thing to do.

Finally, in general, please respect each other’s facilities. This includes throwing away garbage in the proper location when you leave, and monitoring younger children to make sure they are not in areas they should not be. These are great places to use, and we would like to keep using them, so please respect and take care of these gyms.

Basketball Schedules are Posted

The 2010-2011 CYO Basketball schedules have been posted. Please remember, if your team is in a playoff eligible division, and you play 8 games in your season, your first game does not count in the standings. We do this because some divisions have an odd number of teams, and in those divisions, there has to be a Bye team each week, leaving some teams with only 7 games. Therefore, only 7 games count towards playoffs for all playoff eligible teams, so that everyone has the same number of counting games.

Soccer Playoff Brackets Posted

The playoff brackets are finally posted. The brackets are currently posted on the website, and will be updated with the teams on Saturday afternoon once we know the final results. Please keep a few things in mind for the playoffs.

Roster Form and Playoff Roster Eligibility Verification Form Procedure: Coaches must bring their rosters and a signed copy of the Playoff Roster Eligibility Verification Form. This form is online, must be filled out with all the kids on your roster that are present and eligible to play that game, verifying they have played the 3 of 7 and 4 of 8 games required to compete. All players on this form must also be on the original roster submitted to CYO Athletics at the time the rosters were due. Commissioners and staff will be at these games to verify all of your roster information is accurate and correct.

Please know if there is a child present, who is not on the roster or Verification form, AND THEY PLAY, your team will be subject to forfeit if it is identified by CYO Athletics they were not on the original roster. Coaches must bring BOTH of these forms to each game their team competes in during the post season.

Coaches need to make sure the rosters are in numerical order for the kids, so the staff and commission members can verify them quickly, and get coaches back to their pre-game duties.

Weekday Playoff Game Times: There will be playoff games during the week, and due to the field time we were given and the lack of fields given to us with lights, we will have to play most of those games at 3:30pm start times.

Weekend Procedure: As the playoffs begin this Sunday, Ross will be in the office on Saturday afternoon gathering the final scores and posting them. Coaches must call in their scores IMMEDIATELY FOLLOWING THEIR GAME so Ross can post the final playoff brackets. The number for that is 206-654-4643, and the proper email is cyoscores@seattlearch.org. The brackets will be posted by 7pm Saturday evening.

Commissioner Duties at Game: Please keep in mind the commissioners and staff members are there to verify playing time, and rosters. They are not there to referee the game. Do not look to the staff if you do not agree with a call, etc. The refs are there to ref, and it is there game to oversee.

Playing Time: Keep in mind playing time will be enforced at these games. Your kids must play 10 minutes PER HALF, or in the case of a goalie switch only they can play one half at a time. If you are not playing your kids the proper time, expect the staff member present to tell you, and ask that you put those kids in that have not played. Please see page 29 of your manual for consequences of violating the playing time policy. It is also listed below:

Infractions of the playing time policy will result in a warning for the 1st offense. If witnessed by a designated representative of CYO Athletics, warning will consist of a verbal address to the coach during the contest in question. If the playing time issue is not addressed by the coach within this game, the representative will confer with the sport commission and/or the Director of Athletics and a forfeit of the game and suspension of the coach may result.

Other than that please remember that this is CYO, and it is for the fun and enjoyment of the kids win or lose. Let’s have a great time in playoffs, and a great last week of soccer. See you out there!

Cross Country Championship Results

For those of you who have been patiently waiting, the Cross Country Results have been posted on the website. We apologize for how long this took. We had e-mailed the results, but due to the size of the file, the e-mail was unable to be opened by most of our coaches. Also, please note that the times may be off by a little bit near the end of each race. When we have the same number of times as runners, it is easier to be certain of the times. We had more races this year than normal where the number of times we received from our volunteer timers did not match the number of runners. We have posted the times we received from our timers, but we understand that these are most likely not accurate since the number of times didn't match the total number of runners. I have also attached the link to the results here.

This is an updated Results PDF, the original one did not include K-3 numbers in the Final Team total points, but that has been corrected.

AA & AAA Meet Changes

We received a call from the Highline school district that they are having a championship soccer game at Highline Stadium on Saturday at 7:00pm. According to the district it is their policy that if a school in the district has an event in the stadium, any other event regardless of confirmation of use gets bumped. Therefore this is where we are at.

We feel that it is better to keep this meet on Saturday rather than move it to Sunday, not be able to start until Noon, and have the meet last until about 9pm, or later.

Therefore we are going to start the day pretty early, and we will need to hustle through each meet.

The AAA Meet will now start at 8:30am with the coaches meeting at 8:00am.

The AA Meet will start now at 1:30pm with the coaches meeting at 1:00pm.

We know this is not ideal. Of course we would prefer to not have the added pressure of getting this thing done, and out of there, by 6:30pm, but it is what it is, and it is out of our control.

Since this is going to need to go very quickly we need everyone down at the field at 8:00am, volunteers and coaches, for the AAA meet coaches/volunteer meetings. In addition I need everyone ready to go by 1:30pm, for the AA Meet.

The awards ceremonies. Pictures , etc, are going to need to be moved along so as soon as the kids get their trophies, as we are going to have to get everyone out and moving. We understand, once again this is not ideal, but we are going to be very pressed for time.

Volleyball Schedules adjusted for 3/13

March 13th schedules have been changed for some teams, so every volleyball team should recheck their schedule on 3/13 to see if their game was moved or not. The 7th and 8th grade girls teams for St. Joseph Seattle have been given TBA's for this day, due to a parish funeral. Coaches who now have a TBA scheduled that day should contact the opposing coach to schedule the game at a new time, and communicate to Ross Brownell at the CYO Athletics office when that game will be played.

Response to Tebow Super Bowl Ad, Sally Jenkins, Washington Post

I heard some of the concerns about this discussed on sports radio the week prior to the Super Bowl. One of the callers asked for the "separation of Church and sports". My response was how can you ask athletes to not be who they are? This an article worth reading and reflecting on from both sides of the issue of Pro-Life and Pro-Choice. Here it is.

There are two FREE coaches clinics available for CYO volleyball coaches.

Second VB Coaches Meeting Rescheduled

The Volleyball Coaches meeting originally scheduled on February 17th (Ash Wednesday) has been rescheduled to Tuesday, February 16th in the same room, the Isaac Orr Conference Room at the Chancery (910 Marion St. Seattle, WA). The meeting will go from 7:00-8:00pm and will be followed by a Play Like A Champion Today coaches training from 8:00-11:00pm in Isaac Orr.

Please remember that each team is required to have a coach representative come to a coaches meeting (either the meeting at 7:00pm February 9th or this one on February 16th). The head coach will be suspended for a game for any team not represented at a meeting, and teams in 6th-8th grade will also receive a forfeit "Loss" for that game, even though the teams can still play, with another coach for that one game.

All returning CYO coaches (either having coached volleyball in the past or any other CYO sport) must have completed the Play Like A Champion Today coaches training prior to the start of volleyball, and trainings will follow both coaches meetings, on Feb. 9th and 16th. These, however, will be the last trainings offered prior to the start of volleyball.

Coaches Need to Bring the Following to Playoff Games

Basketball Coaches - please remember to bring the following to EVERY playoff game:

1) Pregame Prayer - bring enough copies for all your players to share and read.

2) Roster - bring a copy of your roster, ideally showing all your jersey numbers and listing the players in numerical order.

3) Playoff Roster Eligibility Verification Form - this form should also list the players, with jersey numbers included, in numerical order. Please list every eligible player on your official roster, and inform the CYO Commissioner or Staff on site if any of the players listed are not at the game so we know to expect them in the next game or not.

All three of these can be found on the "Coaches" page on our website.

Please also be reminded, our commissioners and staff are at games to see that the pre-game prayer is being said, and that every child is receiving the proper playing time. They are not there to officiate the game, and should certainly not be confronted in an effort to overturn a call made on the court.

Also we ask that since the commissioners/staff are monitoring the playing time of each child, teams should expect to provide an official score keeper, and scoreboard operator. They can be an assistant coach, a parent, or if these people are already provided in each gym then that works great too. This, once again, is very much appreciated and makes jobs a lot easier for everyone.

The Playoff Brackets for 6th-8th grade CYO Basketball will be posted by tomorrow at noon at the latest (earlier if we can). We will provide you the link both on the Blog and the Website, but it won't be posted through our E-Scheduler, so please check the Blog and the Website for the brackets.

We will be putting the brackets together tonight, which means you have until 5:00pm to give us any missing scores. Please check! We would hate to see a win taken away because we simply never knew about it.

Second VB Coaches Meeting Rescheduling

As many of you probably noticed, the second volleyball coaches meeting was scheduled for Ash Wednesday. We are in the process of moving this, as to not conflict with anyone's mass schedule that evening. We are still planning on having a second meeting available for coaches who are unable to attend the first one on February 9th, but will finalize that early next week.

There will be Play Like A Champion Today trainings offered after both coaches meetings, and this will be the last opportunity to take the training prior to the start of volleyball season.

It is not mandatory that you attend both volleyball coaches meetings, each team in the program must simply have a coach representative attend one of the two meetings. Both meetings should cover the same information, and will show the new Lystedt Law video at both. This video is required by state law for all youth sport coaches. Any team not represented at the coaches meeting will have to suspend their head coach for one game, and in addition recieve a one game forfeit if in 6th-8th grades.

Basketball Score Reporting Reminder

As we approach the last weekend of the regular season for CYO 4th-8th grade Basketball, we would like to kindly remind the 6th-8th grade coaches to please submit all the scores from your games to cyoscores@seattlearch.org or by calling 206-654-4643.

When we make playoff brackets, we never assume that a team won or lost a game, so any unreported scores will go in the standings as a "loss" for both teams. This means that a team listed as 3-1 (with 3 game scores unreported) will be assumed to have gone 3-4 and will be seeded behind a team listed at 4-3 (with all of their scores reported), for example.

1st PARENT LIKE A CHAMPION TODAY - ST. FRANCIS OF ASSISI HOSTS

A sincere thank you to the parish/school community of St. Francis of Assisi for hosting our first Parent Like A Champion training last night from 7-8:30pm. Kati Skeltis, Athletic Director, did a lot of the work preparing the community for the evening. The session was strategically timed during the junior high youth ministry time at the parish so it encouraged families to drop their youth off and come over. A strong turnout of over 30 parents and grandparents were treated to great hospitality by the welcoming crew at the door and the food and beverages catered by Mick Kelly's Irish Pub were enjoyed throughout the evening.

The training, led by CYO Athletics Staff Scott Bailey, Ross Brownell, Clint Richardson and Tauno Latvala with additional support by St. Francis AD Kati Skeltis was well received by the group. A good conversation was had during the training and afterwards in some Q&A time between the trainers and participants. We are pleased that the training was found to be so worthwhile for the group.

For more information on the Parent Like A Champion program please go to the website at the University of Notre Dame. If you would like to schedule a parent training for your school parent association/club or family ministry program, please contact Scott Bailey at scott.bailey@seattlearch.org.
